Getting started

Do I have to change my email provider to use Mailastrix?

No. Mailastrix Email is a mail client that connects to accounts you already have, so it works alongside Microsoft 365, Google Workspace or your existing mail host rather than replacing them. Your mailboxes stay exactly where they are.

Which devices does Mailastrix run on?

Windows and Android, as native applications rather than a browser tab. There is no iPhone, iPad or Mac app yet, and no full browser version. Both are on our roadmap — native Apple apps first, a web version after them — but we will not give dates we cannot commit to. Guests can already join a meeting from any modern browser with no account and no installation.

How long does it take to get started?

Installing the apps and signing in takes a few minutes. Adding your existing mail accounts and inviting your team is the rest of it. If you would like help, we can walk your team through setup — just ask.

Meetings and AI

Which languages can Mailastrix transcribe meetings in?

Hindi, English, Tamil, Telugu, Kannada, Malayalam, Marathi, Bengali, Gujarati and Punjabi — plus an auto-detect option that identifies the language for you. You choose the language on the call, and live captions appear in it.

Are my calls recorded automatically?

No. A call is recorded only when someone in it starts a recording, and while a recording is running that is shown in the call window to everyone present. You are responsible for having whatever consent the law requires from the people in your meetings.

How accurate are the automatic meeting minutes?

They are generated automatically and can contain errors, omissions or misattributed statements. Treat them as an aid rather than an authoritative record, and check anything that matters. The full transcript is kept alongside the minutes, so you can always verify what was actually said.

Can people outside my company join a meeting?

Yes. You can send a guest invite link by email, and the recipient joins in a browser with no account and no installation. Guests do not need a paid seat.

Your data

Where does my meeting audio go?

When you use transcription or automatic minutes, the recording and its transcript are sent to Sarvam AI for speech-to-text. Text you submit to AI assistance features is sent to Google Gemini. This only happens for features you have switched on. If you would rather meeting content did not leave our infrastructure, do not enable recording, transcription or minutes. Our privacy policy sets this out in full.

How long are recordings and transcripts kept?

By default, recordings are kept for 30 days and transcripts and minutes for 365 days. An administrator can change both for their organisation.

Do you read my email?

Mailastrix Email connects to the mail accounts you configure, and message content is processed to provide the features you switch on — such as detecting meetings and deadlines in your messages. We do not sell your data, and we do not use it for advertising.

Running it in your company

Can I stop staff from running up AI charges?

Yes. An administrator chooses which users can use recording, transcription, minutes and AI assistance, and can switch any of them off for individuals or for the whole company. Usage and its cost are visible in the portal as they accrue, so there is no surprise at the end of the month.

Does Mailastrix work without an internet connection?

Partly. Chat is cache-first, so you can read your existing conversation history offline, and messages you send are queued and delivered when the connection returns. Calls and AI features need a connection.
